This Refund & Cancellation Policy governs the purchase and use of products and services offered by SynQues Consultancy Private Limited ("SynQues", "Company", "we", "our", or "us"). By purchasing or subscribing to any product or service from SynQues, you agree to this Refund & Cancellation Policy.

1. General Policy

SynQues primarily provides:

  • Custom Software Development
  • ERP & CRM Solutions
  • Mobile Application Development
  • Web Development Services
  • Digital Transformation Services
  • IT Consulting Services
  • Software Maintenance & Support Services
  • SaaS (Software-as-a-Service) Products
  • Cloud-based Solutions
  • Training and Implementation Services

Due to the nature of digital products and professional services, refunds are governed by the terms stated below.

2. Custom Software Development & Project-Based Services

For custom software development, implementation, consulting, website development, mobile app development, ERP implementation, integrations, and other project-based services:

Non-Refundable Payments

The following payments are non-refundable:

  • Advance payments
  • Project initiation fees
  • Discovery and consulting fees
  • Requirement analysis fees
  • Design and architecture fees
  • Development milestones already completed
  • Resource allocation charges
  • Third-party software, licenses, hosting, cloud, or infrastructure costs incurred on behalf of the client

Cancellation by Client

  • Work completed up to the termination date shall be billed and payable.
  • Amounts already paid for completed work are non-refundable.
  • Any pending dues for completed milestones shall remain payable.
  • Deliverables completed and paid for will be provided to the client unless restricted by contract.

3. SaaS Products and Subscription Services

For subscription-based software products, cloud services, portals, and hosted applications:

Monthly Subscriptions

  • Monthly subscription fees are non-refundable.
  • Cancellation will stop future billing cycles.
  • Access remains active until the end of the paid subscription period.

Annual Subscriptions

  • Annual subscriptions are generally non-refundable once activated.
  • Refunds, if approved by SynQues, shall be provided solely at the Company's discretion and only in exceptional circumstances.

4. Implementation, Setup and Onboarding Charges

Any fees charged for the following services are non-refundable once work has commenced:

  • Setup
  • Installation
  • Configuration
  • Data Migration
  • Training
  • Onboarding
  • Customization

5. Support and Maintenance Services

Support and maintenance fees are non-refundable after the support period has begun. If support services are prepaid for future periods and have not yet commenced, cancellation requests may be reviewed on a case-by-case basis.

6. Duplicate or Incorrect Payments

Refunds may be issued in the following situations:

  • Duplicate payment made by mistake.
  • Excess payment received.
  • Technical payment processing errors attributable to SynQues.

Approved refunds shall be processed through the original payment method whenever possible.

7. Service Unavailability

If SynQues is unable to deliver a purchased service due solely to reasons attributable to SynQues and before substantial work has commenced, SynQues may:

  • Issue a partial refund; or
  • Issue a full refund;

at its sole discretion.

8. Refund Request Procedure

To request a refund, customers must submit a written request containing:

  • Customer Name
  • Organization Name (if applicable)
  • Invoice Number
  • Payment Reference Number
  • Description of the Issue
  • Reason for Refund Request

9. Refund Processing Timeline

  • Refunds will typically be processed within 15–30 business days.
  • Actual credit timelines may vary depending on banks, payment gateways, or financial institutions.
  • SynQues shall not be responsible for delays caused by third-party payment processors.

10. Chargebacks

Customers are encouraged to contact SynQues before initiating a chargeback or payment dispute.

Initiating a chargeback for validly delivered services may result in:

  • Suspension of Services
  • Termination of Accounts
  • Recovery Proceedings for Unpaid Dues

11. Exceptions

Specific agreements, proposals, contracts, Master Service Agreements (MSA), Service Level Agreements (SLA), Work Orders, Purchase Orders, or Subscription Agreements may contain separate refund and cancellation terms.

Where such agreements exist, those contractual terms shall prevail over this Refund & Cancellation Policy.

12. Policy Updates

SynQues reserves the right to modify this Refund & Cancellation Policy at any time. Updated versions shall become effective upon publication on the website.
